CRM Leads

CRM Leads represent people who have shown potential interest but haven’t been qualified yet - a web form submission, a trade-show scan, an inbound call from an unknown number. Keeping unqualified prospects separate from your real Contacts keeps your contact database clean and lets your team focus qualification effort where it belongs. A lead follows a lifecycle from initial capture through qualification, and when it proves genuine it is converted into a full Contact (and optionally an Account).

Lead Grid

The grid displays all leads for the current tenant with columns for name, email, phone, company, status, source, and assigned agent. Server-side paging is enabled for large datasets.

Activity Timeline Badge

Each lead row shows an Activities badge with the count of related activities. Click the badge to open the lead’s activity timeline.

Custom Fields

If Custom Fields have been defined for leads, they appear in a collapsible “Custom Fields” section at the bottom of the form.

Lead Conversion

When a lead is qualified, it can be converted into a Contact. During conversion:

  1. A new Contact is created with the lead’s information
  2. Optionally, a new Account is created from the lead’s company name
  3. The lead’s status is set to “Converted” and linked to the new contact
  4. An activity record is logged documenting the conversion

Because the original lead is retained and linked, you keep a full audit trail of where the relationship started.

Worked example: from trade-show scan to converted contact

You collected badge scans at a trade show and want to work them without polluting your real Contacts list until they qualify.

  1. Capture the lead. Click Add. First Name Sam, Last Name Rivera, Email [email protected], Company Globex, Source Trade Show, Status New, Assigned To the sales rep who will follow up. Save.
  2. Work the lifecycle. After the rep calls, they set Status to Contacted; the call shows on the lead’s Activities timeline. If Sam turns out to be a genuine buyer, they set Status to Qualified.
  3. Convert. With the lead qualified, use Convert. The system creates a Contact from Sam’s details, optionally creates an Account Globex from the company name, sets the lead’s status to Converted linked to the new contact, and logs a conversion activity.
  4. Keep the audit trail. The original lead is retained and linked, so you can always see this relationship started as a trade-show scan - useful when you later measure which sources produce real customers.

Leads that go nowhere should be marked Lost rather than deleted, so the same prospect is not re-worked from scratch next quarter.

Best practices

  • Qualify before you convert. Only promote leads that are genuine prospects; this keeps your Contacts list meaningful and your reporting accurate.
  • Set the Source on capture. Recording how each lead arrived (web form, referral, trade show, etc.) lets you measure which channels produce real customers.
  • Assign leads promptly. Use Assigned To so every new lead has an owner responsible for the first follow-up.
  • Mark dead leads Lost, don’t delete. Keeping lost leads preserves the record and prevents the same prospect from being re-worked from scratch.
