CRM Lists
CRM Lists group contacts into named collections you can target and segment - the audience for a campaign, a set of VIP customers, everyone in a region, or any grouping that matters to your business. Instead of re-selecting contacts every time, you define the group once and reuse it. Lists come in two types: static (a fixed set you curate by hand) and dynamic (a live query that automatically includes everyone matching your criteria).
List Grid
The grid displays all lists for the current tenant with columns for name, type, description, and contact count.
- For static lists, the contact count reflects the number of manually added members.
- For dynamic lists, the count is computed live from contacts matching the defined criteria.
Static Lists
Static lists contain a fixed set of contacts that you add and remove manually. Use static lists when you need precise control over which contacts are included.
Building a Static List
There are two ways to add contacts to a static list:
- From the Contacts grid — Select one or more contacts, then click the Add to List toolbar button. A dialog lets you choose which static list to add them to. This is the primary way to build lists.
- From the List Members view — Click a static list to open its members. Use the Add button to add contacts one at a time.
Removing Members
Open a static list’s members, select the contacts to remove, and click Delete Selected. This removes them from the list only — it does not delete the contact records.
Dynamic Lists
Dynamic lists automatically include all contacts matching a set of filter criteria. There is no manual membership — the list contents update in real time as contacts are added, modified, or removed.
When you select Dynamic as the list type, the criteria fields appear:

All criteria are combined with AND logic — contacts must match all specified conditions to be included.
When viewing members of a dynamic list, the grid is read-only. You cannot manually add or remove contacts; membership is determined entirely by the criteria.
Changing List Type
You can change a list’s type between static and dynamic:
- Static to Dynamic — All existing manual members are removed and the list switches to criteria-based membership.
- Dynamic to Static — The criteria are cleared and the list starts empty, ready for manual member management.

When editing a contact, the Lists field (read-only) shows the names of all static lists the contact belongs to.

Static vs. dynamic: which to use
- Choose a static list when membership is a deliberate, hand-picked set that shouldn’t change on its own - for example a curated pilot group or a one-time event invite list.
- Choose a dynamic list when you want the group to stay current automatically - for example “all Active contacts opted in to WhatsApp” or “contacts added in the last 30 days.” As contacts change, they enter or leave the list with no manual upkeep.
Worked example: a compliant WhatsApp audience that stays current
You want a reusable audience of everyone you are allowed to WhatsApp, so a weekly campaign always targets the right people without manual upkeep.
- Add the list. Click Add, Name
WhatsApp - Opted In, TypeDynamic, Description “Active contacts opted in to WhatsApp”. - Set criteria. Set Status = Active and Opted-in WhatsApp = yes. Because criteria combine with AND, only active, consented contacts are included. Save.
- Check the count. The grid shows a live contact count; open the members view to confirm the right people appear (the view is read-only for dynamic lists - membership follows the criteria).
- Use it. Point a WhatsApp campaign’s Target List at
WhatsApp - Opted In. As contacts opt in or out over time, they enter or leave the list automatically, so you never message someone who withdrew consent.
For a hand-picked group instead - say a 20-customer pilot - create a Static list, then select those contacts in the Contacts grid and use Add to List. Just remember switching an existing list between static and dynamic is destructive (it drops manual members or clears criteria), so pick the type up front.
Best practices
- Name lists by purpose. A clear name like “Newsletter - Opted In” is easier to pick correctly when launching a campaign than “List 3.”
- Use dynamic lists for compliance-sensitive sends. A dynamic list filtered on the relevant opt-in status ensures you never message someone who has not consented.
- Remember changing type is destructive. Switching a static list to dynamic drops its manual members, and switching dynamic to static clears the criteria - so export or note membership first if you might need it.
