Special Mailboxes
Special Mailboxes are voicemail boxes that exist on their own, without belonging to a User Extension. Use them for shared or role-based voicemail - a general “info” or “sales” box, an after-hours mailbox, or a departmental box that several people check - where you want messages and email notifications but no associated phone or user login. A route, IVR option, or feature code can send callers into a Special Mailbox to leave a message.
Edit Special Mailbox
Name. Unique identifier for this Special Mailbox, typically a number.
Owner’s name. Name of the mailbox user; used by the Directory application when listing users.
PIN. PIN (password) for accessing this mailbox.
Notify by email about new voicemail. Specify whether an email will be sent any time a voicemail message is left in this mailbox.
Email Address. Email address to forward voicemail messages. Specifying email address will result in email notifications being sent every time a new voice mail message is left in the mailbox.
Attach messages to email. Determines whether the voicemail message audio file will be attached to the notification email.
Delete after delivery. Determines whether voice mail will be deleted after it is delivered.
Secondary Email Address. A secondary address to send notice about the new voicemail.

Best practices
- Set the Email Address (and optionally a Secondary Email Address) so shared-box messages reach a monitored inbox - otherwise a role mailbox can quietly accumulate messages no one hears.
- For a box that is only checked by email, enable Attach messages to email and Delete after delivery so audio arrives in the inbox and the mailbox does not fill up.
- Give the mailbox a clear Owner’s name - it is what the dial-by-name directory displays.
